Operate the switchboard for all incoming calls and manage the reception area for visitors and deliveries.
Answer switchboard calls, take messages, and distribute them to the appropriate personnel.
Welcome visitors in the reception area.
Issue job numbers and open files, updating job numbers in the computer system.
Handle all filing related to the reception area.
Schedule meetings on the Outlook Calendar.
Archive files as needed.
Assist Project Managers and other staff with typing documents and creating spreadsheets.
Arrange courier services as required.
Support other administrative staff with overflow work.
Organize kick-off meetings for projects.
Take minutes and follow up on outstanding tasks from kick-off meetings.
Prepare quotes using the accounting system.
Candidate Requirements/Experience
Matric qualification.
A qualification in Finance or Administration.
Computer literate (Windows, Word, Outlook, and Excel – intermediate level).
Strong communication and administration skills.
Attention to detail.
Good numerical skills.
Ability to cope with pressure.
Experience working in construction or contractor offices is beneficial.
